Exporting & Importing Status Data
Overview
You can export your Status Manager data to a spreadsheet for offline review, record-keeping, or bulk editing. After making updates in the spreadsheet, you can import the file back into LinkSyncSell to apply those changes to your catalog all at once.
Exporting Status Data
- Go to Catalog > Status Manager.
- If you want to export only specific listings, select them using the checkboxes. To export everything, skip the selection step.
- Click the Export button in the top-right area of the page.
- The export is queued and processed in the background - you don't need to stay on the page.
- Go to Help & Records > Export Center to download your file when it's ready.
Importing Status/Inventory Updates
If you've made changes to a spreadsheet (for example, updating inventory counts or flagging statuses you want to change), you can upload it back into LinkSyncSell to apply those changes in bulk.
- Open your exported spreadsheet and make your updates (inventory counts, status changes, etc.).
- Save the file.
- Go to Catalog > Status Manager.
- Click the Import button in the top-right area of the page.
- Select and upload your updated Excel file (.xlsx or .xls).
- LinkSyncSell will process the file and apply the changes to your catalog.
Checking Import Results
After uploading a file, you can track its progress and review the results.
- Go to Help & Records > Import History.
- Find your import in the list - it will show the file name and the date imported.
- Check the Status column:
- Processing - your file is still being worked on, check back in a moment
- Success - all rows were processed without errors
- Partial - some rows were applied successfully, but others were skipped due to errors
- Failed - the import could not be processed (see step 4)
In the Details column:
- If there were row-level problems, click Show N validation issues to see a row-by-row breakdown. Each issue shows the sheet name and row number, for example [Status Manager, Row 12] ..., so you can find and fix it in your file.
- For a full audit of what changed, click the details link to open the Process Log.
Troubleshooting
My import fails immediately.
The most common cause is a file that doesn't match the expected format. Use the file you exported from LinkSyncSell as your template - don't rename the sheets, and don't add or remove columns. If you're working from a custom file, make sure the sheet names, column names, and data format match exactly. Also remember that only Excel files (.xlsx, .xls) are accepted - CSV files will not work.
Status isn't updating after the import completes.
Check Import History for any row-level errors (the Show validation issues link), and open the Process Log via the details link for more detail. If specific platforms aren't updating, verify that those platforms are still connected under Catalog > Selling Platforms.
My exported file is missing some products.
Check whether you had any filters or search terms active when you clicked Export. If the table was filtered, only the matching results were exported. Clear your filters, export again, and you'll get the full catalog.
